Doctor Who Appreciation Society (‘the Society’/DWAS) and Space Rocket Ltd Data Processing Statement
By joining the Society or renewing your membership, you are providing your personal data to us. This will be retained by the Society in our membership records for the duration of your membership and should it lapse, for a limited time thereafter for administrative purposes.
Your data will be used for the purpose of administering your membership. It may be shared with our company, Space Rocket Ltd, for the provision of services to you and will also be passed to our mailers on a regular basis in order for you to receive Celestial Toyroom and other Society publications. We do not use your data for automatic decision making.
Neither the Society nor Space Rocket Ltd will use your data for any non-membership related purposes, nor will it be passed to a third party other than as above, or unless one of the legal exceptions applies, or if we are required to do so by law.
You have the right to ask us what data we hold about you. You may do so by writing to the Society at DWAS, P O Box 1011, Horsham, RH12 9RZ, UK or by email to membership@dwasonline.co.uk. You may also contact Space Rocket Ltd at the same address or at orders@dwasonline.co.uk for this purpose.
If data we hold about you is inaccurate we will amend it. You also have the right to have your data removed from our systems. However, you should remember that if you choose to do so, we may be unable to provide you with the services you have paid for. We may also decline to do so for a period if we consider we need to retain it for other reasons.
The Society operates an Email Bulletin list which you can join at our website. This data is held by a third party (Mail Chimp) solely for the purpose of running that bulletin. You can amend or delete your data held there at any time by following the links in a recent email or in the confirmation you received on joining the list.
The Society uses an authorised merchant service provider to process credit and debit card data. It does not retain any card data itself. DWAS also has a Facebook page which the public may contribute to, and this is governed by the rules applying to Facebook only.
The Society is a non-profit making organisation and any surplus generated by it or by its company it used for the benefit of the organisation as a whole. As such and taking into account the purposes for which it holds data, the Executive committee considers that DWAS is currently exempt from registration as a data controller. However, it still adheres to the provisions and protections contained within the relevant UK regulations. Space Rocket Ltd is registered with the Information Commissioners Office in the UK as a tier 1 data user. Its registration number is ZA873561
Cookies
Cookies are small text files that are stored on your computer when you visit some websites. They are used to remember useful information that allows certain functionality to work, for example cookies can be used to remember if you're logged in or not. Cookies can't harm your computer, and are active for differing lengths of time, some are stored until you close your browser, while others may last for several weeks or more.
By default, cookies should be enabled on your computer or device. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site.
DWASOnline uses cookies in the following ways.
1) We set two cookies which are essential to the smooth running of the website. One is a Session cookie that is there to help logged in users (administrators of the website) to navigate the backend of the website. For anonymous users this is never used and will disappear from your computer a month after your last visit to our website - unless you choose to delete it manually. The other is set to tell our website if you have Javascript enabled in your browser. This is used to allow our website to work more efficiently. It is deleted when you close your browser.
2) We also use Google Analytics as our chosen statistics package. This is industry standard statistics software that anonymously logs visits to our site. It sets four cookies that are used to collect information about how visitors use our site. We use the information to compile reports and to help us improve the site. The cookies collect information in an anonymous form, including the number of visitors to the site, how visitors have reached our site (search engine, link on another website, etc...) and how often pages have been visited.
DWASOnline never retain any personal details of our visitors nor do we have any third-party cookies or advertising cookies on our website.
If you'd prefer to restrict, block or delete cookies from dwasonline.co.uk or any other website, you can use your internet browser to do this. Each browser is different, so check the "help" menu on your browser to learn how to change your cookies preferences.
